Reports answer the questions a center gets asked — by its own director on a Tuesday, and by a payer or reviewer months later. Because every report draws from the same append-only record staff build during the day, there is nothing to reconstruct.
Everyday reports
Use reports to run the program day to day: today's attendance against the roster, patterns over a week or month, activity and meal participation, and documentation completeness. Checking the daily attendance report before closing out the day is the single habit that catches most mistakes while they are still easy to correct.
When a payer or reviewer asks
When an MLTC plan, state reviewer, or payer requests records, filter to the members and date range in question and export. The goal Adult Day Genie is built around: produce attendance documentation in minutes, not in a week of assembling paper. Exports pair naturally with the member-level records described in Forms and documentation.
What exports show
Exports reflect the append-only history: original entries, corrections, who recorded each one, and when. That includes the check-in method for each attendance entry, so a reviewer can see whether an arrival was face-verified or recorded manually.
- Timestamped check-in and check-out for each visit.
- The staff account that recorded each entry.
- Corrections shown alongside the entries they correct.
Records stay with the center
Your records belong to your center. Members who leave are marked inactive, never erased, and their history remains exportable. Retention obligations vary by state and program — New York MLTC guidance, for example, expects long retention windows — so keep exports according to your own policy and your advisers' guidance.
